I’ve watched too many business owners sign contracts they regret. Not because they didn’t do their homework, but because they didn’t know what signs to look for until it was too late.
After 20+ years of watching vendor relationships go right—and go very wrong—here’s what I’ve learned about spotting the difference before you’re locked in.
Green Light: The Experts (Go)
These are the vendors you want on your team. They:
Deliver what they promise and follow through consistently
Ask thoughtful questions about your business before proposing solutions
Provide clear, specific proposals with defined deliverables and timelines
Communicate proactively—before and after you sign
Show adaptability: they’re flexible, curious, and respond calmly when things change
Tell you when something won’t work for your situation, even if it costs them the sale
Admit when they don’t know something and either figure it out or refer you to someone who can
Often add value beyond what was originally contracted
These are true partners invested in your success. They’re just in over their heads, winging it, or genuinely believe they can figure it out as they go. They seem fine at first, but those gaps add up.
Real example: A web developer who promises “full SEO optimization” but can’t explain keyword research. Or an SEO consultant who offers to “redesign your site” without any design portfolio to show. Or a marketing consultant who needs YOU to tell them what to do next at every turn.
The problem? You end up paying for their learning curve—or worse, managing them through a project they should be leading.
Proceed with caution—they’re not malicious, but they can hold you back.
If you’re considering this vendor: Verify their experience in the specific area you need.
Most business owners don’t lose sleep over who technically owns their website. Or where their domain name is registered. Or whether their email is being backed up.

Until something goes wrong.

The website goes offline and the hosting company has no backup. The domain name expires and gets snatched up by someone else. Years of customer emails vanish overnight. The SEO company you’ve been paying $600 a month hasn’t logged into your website in over a year.

By then, it’s too late.

What Are Digital Assets, Really?

For small business owners, digital assets are anything online that you own, control, and use to run your business. Think of them as the infrastructure that keeps your business running—your digital foundation.

Your digital assets include:

Your online presence:

Domain name (your web address)

Website and all its content

Email accounts

Social media profiles

Your branding and marketing materials:

Logo files

Photos and videos

Marketing templates

Customer data and contact lists

Your operational tools:

Software and subscriptions

Online directories (Google Business Profile, Yelp, etc.)

Analytics and tracking tools

Paid advertising accounts

These aren’t just technical details. They’re the foundation of how you do business, communicate with customers, and protect what you’ve built.

The Real Problem: Disorganization, Overlap, and Waste

Here’s what I see constantly: business owners aren’t necessarily losing ownership of their digital assets—they’re just not organized about them. Logins are scattered. Tools overlap. Subscriptions get renewed without anyone checking if they’re still needed. Costs pile up.

Real examples from my clients:

A business owner discovered their “website designer” actually owned their domain name. When they wanted to leave, the designer held it hostage.

Another client paid $600 monthly for SEO services. When we audited their account, the SEO company hadn’t logged into the website in over a year. They were paying for nothing.

A third client was renewing their domain for $75 annually because “privacy protection” was bundled in. The actual domain renewal? About $15. They’d been overpaying by $60 a year for something they didn’t need.

A fourth client had three different email marketing platforms running simultaneously—all paid subscriptions—because no one had ever consolidated them.

These aren’t edge cases. This is happening every day to business owners who are experts in their field but don’t have a marketing or tech person on staff to protect them and keep things organized.

Why This Matters More Than You Think

Beyond the immediate financial waste, there’s a bigger risk: business continuity and control.

What happens if:

You need to fire a vendor who has all your logins?

Your website goes down and you don’t know who to call?

You want to sell your business but can’t prove you own your digital assets?

Something happens to you and no one on your team can access critical accounts?

You’re paying for overlapping tools without realizing it?

If you don’t actively manage your digital assets, you’re building your business on a foundation you don’t fully control. That’s a vulnerability you can’t afford.

What You Should Actually Own and Control

At minimum, you should be the registered owner and have direct access to:

Your domain name — Registered in your name or business name, not your web designer’s

Your website files and content — You should be able to move your site if needed

Your email — Know where it’s hosted and that it’s being backed up

Your online directories — Claimed and controlled by you, not set up automatically

Your paid advertising and SEO accounts — With full admin access and regular reporting

If you can’t answer “yes, I own that and can access it right now” to each of these, you have a gap.

The Good News: This Is Fixable

You don’t need to become a tech expert. You just need to ask the right questions and make sure someone is paying attention to these details.

Start here:

Do you know where your domain name is registered and who the owner is?

Can you log into your website hosting account?

Do you have a list of all your digital accounts, logins, and vendor contacts?

Is anyone backing up your website and email regularly?

Do you review what you’re paying for and what you’re actually getting?

Are there tools or subscriptions that overlap or duplicate each other?

If you’re unsure about any of these, you’re not alone. Most of my clients come to me with that exact feeling: something’s off, but they don’t know where to start.

What’s Next

Once you understand what your digital assets are, the next step is making sure they’re organized, backed up, and working together efficiently. Over the past 20+ years working with small businesses, I’ve seen what happens when digital assets aren’t managed properly. I’ve also seen how much peace of mind and money business owners save when they finally know what they have, what they own, and that it’s all working in their favor.

In my next post, I’ll walk you through a practical approach to organizing and protecting your digital foundation so nothing falls through the cracks.

Ready to Audit Your Digital Assets?

Your Discovery Session: 30 Minutes, No Obligation

A fresh set of eyes on your digital setup.

Clarity on where you may be overspending or missing easy wins

Insights you can act on right away — at least one clear step forward

No-pressure conversation focused on your goals

Have you ever thought about what would happen if you suddenly could not access your website, email, or online accounts? Or if someone else needed to step in — would they even know where to begin?

Let’s Start with a Few Quick Questions

Do you know where your website is hosted, how to log in, and who to call if something goes wrong?

Do you know who to contact if your email goes offline and you cannot access anything?

Do you know when new Google reviews come in and who is responsible for responding?

If you hesitated on any of those, you are not alone. Most business owners realize there are some key things they do not know about their own digital setup. Those are details we need to know, or at least have written down somewhere safe, so they can be accessed quickly when needed.

Why Future-Proofing Matters

Future-proofing is the umbrella that covers succession planning, exit planning, and everyday business continuity. It means setting things up today so your business and the people who depend on you can carry on smoothly tomorrow, no matter what happens.

Here is why it matters:

Vendor or access changes: Vendors change, emails get shut down, or staff leave, and those small gaps can cause big losses.

Succession planning: If you had to step away unexpectedly, could someone keep things running? Succession planning ensures your business does not stall because no one can log in, pay bills, or manage key systems.

Exit planning: If you plan to sell or transition your business someday, clean and documented digital assets add real value and make the process far smoother.

Life’s curveballs: Care-taking, illness, or even burnout can happen. When your systems are organized, you can step back without creating chaos.

This is not about doom and gloom. It is about stewardship. You have built something valuable. Future-proofing protects it so your business, your clients, and your peace of mind are not vulnerable simply because a password, login, or vendor detail is trapped in your head.

Foundational Digital Assets: What Every Business Should Know

A digital asset audit is simply taking stock of what you own online and making sure you actually have access to it. Think of these as your foundation — like building a house, if the foundation has gaps or cracks, everything built on top of it becomes vulnerable.

Your foundational assets include domains, hosting, and email systems (both the infrastructure and your opted-in contact lists). But your full digital footprint also spans your website and content, CRM and customer intelligence, directories, social media, mobile apps, and brand assets like logos and photography.

Every business should know where these live, who has the logins, and whether that information is current. When those details are clear and organized, you can make better decisions, save money, and avoid stress when something changes.

The One Thing to Do Right Away: Protect Your Digital Keys

Your passwords are your digital keys. If something happened to you, could someone open the right doors?

Start here:

Use a password manager such as 1Password or Bitwarden, and if that feels daunting, start with a simple password-protected worksheet.

Share access to that file or password manager with at least one trusted person, whether that means access to a digital version or a printed copy stored securely.

It can feel overwhelming to think about mastering all of this, but start small:

Make sure your passwords are all in one place, not scattered across sticky notes, browsers, or old notebooks.

Choose one secure spot to keep them and ensure one trusted person knows how to find them if needed.

Bringing It Home

Future-proofing is not just about technology. It is about stewardship — caring for what you have built and protecting the people who depend on you.

A few small steps today can safeguard your business, your clients, and your peace of mind.

Ready to Go Deeper?

Your Discovery Session: 30 Minutes, No Obligation

A fresh set of eyes on your digital setup.

Clarity on where you may be overspending or missing easy wins

Insights you can act on right away — at least one clear step forward

No-pressure conversation focused on your goals

Whether we work together or not, you’ll walk away more informed and in control.
